Peru Viajes y Aventuras – Conditions for booking, changing and canceling your services

Introduction

At Peru Viajes y Aventuras we want booking your trip to be clear, secure and free of surprises. This page explains how to make a booking, what information we need, how a booking is confirmed, and the general conditions for changes, rescheduling, cancellations and refunds.

Many of our services depend on limited availability and on third-party suppliers —such as Machu Picchu entrance tickets, trains, buses and accommodation— so we recommend that you read these policies and the specific conditions listed on each tour page carefully before booking. In the event of any discrepancy, the specific conditions stated on the tour page or in your booking confirmation shall prevail.

1. How to Book

You can book any of our tours or services through:

To process your booking we need, at a minimum:

Important: Machu Picchu and train tickets are issued in the passenger's name. An error in the name, document number or nationality may prevent entry or generate correction costs beyond our control. Please check your details carefully before sending them.

2. Booking Confirmation

A booking is considered confirmed once we have received payment (deposit or full amount, depending on the service) and have sent you written confirmation by email or WhatsApp.

Deposit required to confirm the booking: a percentage of the total price of the service, stated in your confirmation.

Until payment is received, places are not held. Machu Picchu tickets, train tickets and tickets for Huayna Picchu or Machu Picchu Mountain often sell out, especially in high season (May to October), so we recommend booking as early as possible.

For Huayna Picchu or Machu Picchu Mountain we recommend arranging your tickets at least one month in advance, as they sell out quickly and carry an additional cost.

For Machu Picchu entrance tickets booked as a stand-alone service, you will first receive a confirmation voucher and then a separate email with your admission ticket, which you must present together with your passport.

3. Prices, Discounts and Inclusions

Prices are per person unless otherwise stated, in the currency indicated for each tour.

Each tour page clearly details what is included and not included. Any service not listed as included (for example, the Cusco Tourist Ticket, optional entrance fees, meals not listed, tips or personal expenses) is the passenger's responsibility.

Some on-site payments, such as the Cusco Tourist Ticket or certain entrance fees, are accepted in cash and in Peruvian soles only.

Discounts

Where the service allows it, we offer reduced prices for:

Private Tours and Tailor-Made Trips

If you would like a 100% private service or a personalized itinerary, contact us and we will send you a specific quote. Payment, change and cancellation conditions for private services will be stated in that quote.

4. Changes and Rescheduling

Whether a change is possible depends on the type of service, because many components are issued by third parties with their own rules. As a general rule:

Machu Picchu Entrance Tickets

They cannot be changed or refunded once issued.

On the trekking programs that state it (Salkantay, Inca Jungle and Choquequirao), rescheduling the Machu Picchu citadel entrance carries an administrative fee of USD 25.00 per passenger, subject to availability and to the ticketing rules in force.

Train and Bus Tickets to Machu Picchu (in packages)

They can be changed with at least 15 days' notice before the service date.

Changes are subject to availability, possible penalties and fare adjustments according to each rail or transport company's policies.

The same schedule, class or original price cannot be guaranteed.

Multi-Day Treks (Salkantay, Inca Jungle, Choquequirao and similar)

Rescheduling or a change of date is allowed up to 15 days before the travel date, and the new date may be used until December 31, 2027.

Day Tours, Regional Tours and Transfers

Rescheduling is allowed up to 5 days before the service date, valid until December 31, 2027.

Official Aguas Calientes – Machu Picchu Bus (stand-alone service)

Rescheduling is allowed up to 2 days before the travel date, valid until December 31, 2027, and is subject to a prior penalty.

All change requests must be sent in writing (email or WhatsApp) and are only accepted once we confirm them through the same channel. Any resulting fare differences are payable by the passenger.

5. Cancellations and Refunds

Packages Including Machu Picchu by Train (e.g. 3- or 4-Day Cusco and Machu Picchu, 2-Day Humantay Lake and Machu Picchu)

Once the booking is confirmed, refunds are not possible.

Machu Picchu tickets cannot be changed or refunded once issued; train and bus changes are governed by section 4.

Multi-Day Treks (Salkantay, Inca Jungle, Choquequirao and similar)

You may cancel up to 30 days before the travel date; administrative charges of 40% of the total price will apply.

If you cancel less than 30 days before departure, a 100% penalty applies.

Day Tours, Regional Tours (Puno, Huaraz, Arequipa, Ica, Lima) and Transfers

If you cancel at least 48 hours in advance, you will receive a full refund of your tour.

If you cancel less than 48 hours in advance, a 100% penalty applies and no refund will be processed.

Official Machu Picchu Bus Tickets (stand-alone service)

Cancellation at least 48 hours in advance: full refund. After that, a 100% penalty applies.

No-Show

If you do not show up at the agreed pick-up point and time, or if you leave a service of your own accord once it has started, the service will be considered used and no refund will be given, including for unused services.

How Refunds Are Processed

Cancellation requests must be sent in writing to peruviajesyaventuras@gmail.com or via WhatsApp +51 974 534 742, stating the booking name or code.

Where a refund applies, it will be made through the same payment method used. Non-recoverable bank fees, payment gateway charges or transfer costs may be deducted from the amount refunded.

6. Changes Beyond Our Control

Itineraries may be altered for technical, weather, safety or force majeure reasons beyond the operator's control (for example, strikes, road blockades, natural disasters, closures of archaeological sites or decisions by the authorities), and such changes may occur without prior notice. In these cases we will do our best to offer you an equivalent alternative or to reschedule the service. For example, if for safety reasons it is not possible to sail to the Ballestas Islands, we will visit the Paracas National Reserve instead.

7. Passenger Responsibilities

Be on time at the confirmed pick-up point and time.

Carry your original passport or ID (mandatory to enter Machu Picchu and board the train) and, where applicable, your original ISIC card.

Respect the luggage limit of 5 kg per person on trains to Machu Picchu and for luggage carried by porters or horses on treks. We recommend leaving the rest of your luggage in storage at your hotel in Cusco.

Inform us of any relevant health condition and assess your physical fitness for high-altitude or strenuous activities.

Take out travel insurance, which we strongly recommend to protect your investment.
